Community Coordinator Position for The Hivery Mill Valley & San Francisco

This position’s (Community Coordinator) primary function is reception and operations at The Hivery’s Front Desk.

This is a 20-30 hour per week position that reports to the General Manager. Our coworking space’s hours are Monday-Friday (8:30 am-6:00 pm), with either a morning or afternoon shift, or subbing and event support. Must be available for opening or closing (open by 8 am, close at 6:30 pm). Some nights/weekends additional event support may be required.



Job Overview:  

This exciting opportunity has the following areas of responsibility:  Customer Service/Facilities Management and Operations, Hospitality and Project Coordination 



Customer Service: 

• Assist GM and Founder in educating customers on membership options and providing sales support, booking/coordinating event rentals, and meeting room reservations.  

• Greet and host members. Check in all visitors and guests while managing front desk, including health safety screening  

• Assist members with various requests with exceptional customer service  

• Troubleshoot connectivity, printing, and device issues for coworkers in a timely and efficient manner. Tech comfort is essential!

• Respond to and resolve member issues with professionalism and  patience  

• Help members book and setup meetings in conference rooms  

• Answer “walk-up” member and guest questions. Answer phones and provide information, guidance and keep team members updated as needed. 

• Communicate effectively at the end of your shift in a formal shift  report, so General Manager/Founder are kept abreast of all shift highlights and transition is seamless.



Facilities Management Coordination :  

• Make sure that all member provisions and facility supplies are well stocked 

• Order supplies as needed and directed by General Manager  

• Do light cleaning as needed. Follow scheduled cleaning protocols for each area of coworking space.Safety, organization and cleaning of  common areas and conference rooms is the highest priority. 

• Communicate any maintenance issues that need attention to management.

• Under direction of GM and Founder, implement new systems that ensure improved customer experience

• Maintain Hivery standards in providing a beautiful, comfortable, inspiring workspace.


Hospitality 

• Demonstrate hospitality-forward attitude and warm welcome for members and guests

• Restock amenities: coffee, tea, water, snacks for members  throughout the day  

• Provide members/guests with technical (printing, AV, Wi-Fi)  support  

• Ensure all work-spaces throughout the day are clean, safe, organized and  refreshed.  

• Repond to and address minor issues or reasonable member requests quickly and kindly throughout shift

• Demonstrate joy and creativity in maintaining an inspiring, delightful workspace

• Conduct facility tours and provide a positive, welcoming experience for prospective members, including helping them to join or answering questions


Required Skills:

  • Experience with customer service & communication skills

  • Ability to handle and prioritize many tasks and work independently

  • High level of organization & ability to support safety/cleaning routines

  • Problem-solving mentality and positive outlook

  • Experience and ease with technology (and not afraid of it), including AV equipment, printers, wifi troubleshooting, google docs, email, and database programs, variety of laptop operating systems

  • Proficiency in Google Suite, Excel, Word or comparable software

  • Start-up/growth mindset

  • The employee must occasionally lift and/or move up to 50 pounds, including furniture rearranging for event setup.

Preferred Skills: 

  • Experience with marketing & sales including tours and membership sales

  • Hospitality, coworking, hotel, spa, wellness, or hosting experience

  • Experience with event planning

  • Ability to troubleshoot technology and booking issues that arise  

  • Ability to learn new software systems
